ROAM Humanitarian is a 501(c)3 nonprofit recognized by the IRS, and all donations to ROAM Humanitarian are tax-deductible in accordance with IRS regulations. Please note that airline miles used for flights are NOT tax-deductible.
Although we hate to see you miss this opportunity, we understand that life happens and circumstances change at times. As most of our trips have a waitlist, please let us know as soon as possible if you intend to cancel. Due to the nature of our 501c3 status, your trip fees are considered a donation which are non-refundable. For this reason, it is important that you are certain that you are willing and able to travel at the time of application. If you must cancel due to an emergency, deposits may be moved to another expedition IF the expedition date is no less than 8 weeks out or before the full payment is due, whichever comes first. The deposit must be used on an expedition within 6 months of original expedition date and new expedition must be selected and registered for by the date of the missed expedition. If you must cancel, follow the cancellation deadline below. If you cancel after the expedition fee due date or 8 weeks prior to expedition date, whichever comes first: None of you expedition fees are refundable or transferable to another expedition. All expedition fees will be considered a taxable donation.
Due to the nature of international travel, the first day listed on the website is considered a “travel day”. This gives you time to get to your destination. The expedition officially starts on the second day listed. Hotel and transportation will be provided on the second day of the expedition only. All other transportation and accommodations outside of this are the participants responsibility.
Each expedition will provide a sign up for donations that are specific to the projects we will do. If you wish to bring your own donations, please communicate with ROAM Humanitarian directly on what you would like to bring for the communities that we will serve. At times we are limited in space with ground transportation and connecting flights. You must communicate with us if you plan to bring anything other than your allowed carry on bag and personal items. We want you to be able to maximize this experience, but communication is key.
This will vary from trip to trip, but you can anticipate most groups being anywhere from 25-50 participants depending on needs of service projects and accommodations available.
Each trip is different, but in general most of the places we will visit are rugged and developing. We recommend bags that are carry-on size and have a backpack and roller option. Many places will not be conducive to wheels on a suitcase, although at times, like in an airport it is convenient to have that option. ROAM Humanitarian will not pay or be responsible for checked or oversized bags. Any in country flights booked by ROAM Humanitarian will include a carry on and personal sized luggage.
Yes. Your personal itinerary must not disrupt that of the group itinerary, meaning you must arrive in the host city prior to the group and leave the group after the itinerary has ended. ROAM Humanitarian will not be liable or responsible for any portion of your travel that is not set forth on the expedition itinerary. Please communicate clearly and effectively your plans of travel if they differ from the group airfare and group itinerary.

If you cancel before half of expedition fees due date, you are able to push your non-refundable deposit and any trip fees paid toward another ROAM Humanitarian expedition within one calendar year of your scheduled expedition. If you cancel after the final expedition fee due date: None of you expedition fees are refundable or transferable to another expedition. All expedition fees will be considered a taxable donation.
You are more than welcome to attend an expedition with allergies or other limiting restrictions, however, you must be able to effectively care for yourself or your child. ROAM Humanitarian will not be responsible for dietary needs, administering medications, or other restrictions. We will be happy to help in any way that we can, but you know your needs best and need to be in a state to be your own advocate.
The same options will apply to you as if we had canceled the trip due to Covid-19 (see above) so long as you provide a positive test within 72 hours of travel or a doctor’s note recommending that you not participate on the trip due to current health restrictions. If you cannot provide necessary proof of illness or doctor’s recommendation, regular refund policies and timelines will apply.
If ROAM Humanitarian cancels your trip due to Covid-19 restrictions you will be able to choose another trip to attend that has space available and/or have the option to push your travel one year out. All of your fees paid up to the cancellation point will go toward the new trip that you choose. If your trip is canceled and you no longer want to attend a ROAM Humanitarian expedition, you will be eligible for a full refund less your $500 non-refundable deposit. This refund policy only applies to trips that are canceled due to Covid-19 or other travel restrictions. If you cancel for your own reasons, see “I want to cancel my trip.” response below.
Each country we visit is different. ROAM Humanitarian will communicate required vaccinations. An updated list of recommended vaccinations for each country we visit can be found at your local health department.
Flights are not included in trip fees, but are tax deductible. If you would like help booking flights from our in house Travel Specialist, please fill out the flight form on our application page and we will call you within 3 business days to get your flights booked. If you choose to purchase flights on your own, ROAM Humanitarian will provide a time that you must be in the host city and a time that you may depart. You must not arrive after the group time or depart before the group time as to not disrupt the group itinerary. Any accommodations or transfers needed before or after the official expedition dates will be the responsibility of the traveler. Once purchased, please send in your flight receipts and we will add it to your donation amount.
Yes. You will need a valid passport to travel out of the United States. Most countries require that a passport is valid for 6 months AFTER travel has ended. A visual passport check is always recommended to ensure validity. In general, and where applicable, ROAM Humanitarian will either purchase Visas, or give clear instructions on how to do so on your own.
Yes. Once a country is added to the list of expeditions, it should be offered once or twice per year in the spring and fall months.
Pricing is based on double occupancy. If you sign up alone, you will most likely have a roommate of the same gender. If you prefer to have your own accommodations, please reach out to ROAM Humanitarian for an updated expedition price.
Service trips are open to adults over the age of 18 or family groups. The minimum age of participants within a family group is 8 years old. If you are younger than 18 and would like to attend without your family, you must apply with a chaperone and obtain a parent consent form. You will need to be able to effectively care for yourself and family members including allergies and other mental or physical restrictions. Participants should be healthy enough to participate in long days of working and playing hard with a rigorous schedule. Many expeditions also have portions of the trip that are filled with adventure, and sleeping accommodations may involve camping. Review the itinerary to be sure it is the right fit for you.
The minimum age of participants traveling on their own or with friends is 18 years old. Family groups where at least one guardian is present may have children who are as young as 8 years old at the time of travel.
After your application process is complete online, meaning you have filled out the waiver and paid your non-refundable deposit, you can expect an email within 3 business days with more information.
Once you find that trip that suits your needs best, apply on our website www.roamhumanitarian.org using the “Apply for a Trip” button. You will be required to fill out and sign a waiver and pay your non-refundable deposit in order to be eligible for the expedition. ROAM Humanitarian will not reserve a space for you or your family members until this form is filled out and the deposit is paid for each individual participant.
